And somehow, nobody is quite sure which one is current.

Meanwhile, someone else has their own version in Google Sheets, another prefers SharePoint, and someone is still emailing Word documents back and forth.

Everyone is working hard. Just not necessarily together.

The real problem
The problem isn't the software. It's everyone working in their own version of reality.

Whether your team chooses SharePoint, Google Workspace, or another shared platform, agree on where the information lives, who manages it, and how everyone accesses it.

Working together

Sharing a document is only the beginning.

Live collaboration needs some ground rules. Administrators should establish appropriate access and editing permissions, identify who is responsible for maintaining the data, and set clear expectations for how changes are made.

Know who is responsible for keeping information accurate and current.

Access

Give people the right permissions to view, edit, or manage shared information.

Guidelines

Establish how information gets updated without creating competing versions.

Don't forget the people

Just as importantly, train the team on the tools you've chosen. Don't simply give everyone access and expect them to figure it out. A little guidance upfront can prevent a lot of confusion later.

A familiar tool might make one person's job easier. A shared process makes everyone's job easier.

One simple rule
Your favorite system isn't necessarily the team's system.
One team. One shared source. One less FINAL FINAL document.
